Enterprise AI agents: frequently asked questions

Cogito AI answers the questions enterprise teams ask most: how it works with your data, which models it uses and what they cost, how agents are governed, what each team's packaged solution does, and how your data stays secure.

Connectors and your data

Explore Connectors
Do we have to move our data into Cogito AI?

Not necessarily. Your systems stay where they are, and there are two types of connector. Ingestion connectors copy data into your Enterprise Data Model, where it stays isolated within your controls, with residency and audit. Federated (MCP) connectors don't ingest anything: they query the source system in real time, on demand. Both types have their place, and many deployments use a mix.

How current is the knowledge agents use?

Incremental sync keeps the Enterprise Data Model up to date as your systems change, and federated connectors query sources live, so agents work from current knowledge instead of a stale snapshot.

What if we use a system you don't list?

Custom connectors are available and typically take about two weeks to build. If the gap is a document type rather than a system, you can configure additional document types yourself, or our implementation team can do it for you.

Ontologies and knowledge

Explore Ontologies
Do we need a data science team to build an ontology?

No. Cogito AI works with your subject-matter experts to model concepts in business terms, and the platform handles the underlying graph.

How does an ontology reduce hallucination?

Anchoring answers to defined entities and relationships gives agents a factual structure to reason over, so they rely on your knowledge rather than filling gaps with guesses.

Can one ontology serve multiple agents?

Yes. The ontology is a shared asset; many agents and use cases draw on the same model, so structure you define once benefits the whole organization.

What happens to the ontology when our business changes?

You extend or refine the ontology as needed, and connected agents inherit the updated concepts without being rebuilt.

Models and cost

Explore Models
Are we locked into one model provider?

No. Model choice is a core principle: you match each use case to the best-fit model and can adopt new models as they emerge without re-architecting.

How does model choice control cost?

You route routine tasks to efficient models and reserve premium models for high-value work, which keeps inference spend aligned to the value each task delivers.

How do you keep quality high across different models?

Outputs are grounded in your data and ontology and evaluated against your own success metrics, so you can tune and choose models based on measured results.

How is this different from giving staff a chatbot?

Agents work from your own data and ontology, are scoped to real workflows, and cite their sources down to the page, so every answer can be checked. In Internet mode, the Master Agent can also answer general questions, combining your company's knowledge with the web.

Can agents take actions or only answer?

Agents can act through governed plug-ins in your systems, within least-privilege access and audit controls, so they do work rather than just responding.

How do you keep agents governed at scale?

Oversight, provenance and effectiveness measurement are built into every agent, so you can deploy organization-wide while retaining control and visibility.

What kind of impact should we expect from agents?

Impact depends on the use case. The platform tracks each agent's adoption and effectiveness, and weighs its cost against the work it supports, so you can see results as they build.

Plug-ins

Still have questions? See the FAQ or contact us.

Can agents make changes in our production systems?

Yes, through governed plug-ins scoped by least-privilege access, with every action audited, so agents act safely and within policy.

Do we need engineering for every new capability?

Not every time. Plug-ins extend the platform without rebuilding it, and tested plug-ins are reusable across teams, so each new capability doesn't start from scratch.

Can one plug-in be used by multiple teams?

Yes. Plug-ins are reusable, so a capability built for one use case can be shared across the organization.

Can dashboards combine structured and unstructured data?

Yes. A single dashboard can show CRM and finance figures alongside insights drawn from cases, emails and contracts.

Do we have to build dashboards from scratch?

No. Out-of-the-box dashboards cover common use cases such as Customer 360, and you can create your own when you need something specific.

Who can see a dashboard?

You choose who to share each dashboard with, and every viewer only sees the data their permissions allow.

Do dashboards track AI usage and cost?

No. Dashboards visualize your business data. Agent usage and cost are tracked separately, in the platform's Agent Cost Management views.

Which systems do the sales agents work from?

Revenue Intelligence works from your CRM, contracts, product and usage data, and shared drives, brought together in the Enterprise Data Model. Customer Relationship Intelligence and the Customer 360 Dashboard give every rep one view of each account, with the reasons behind every signal.

How does the RFP Response agent work?

It matches each RFP or DDQ question to your approved answer library, drafts every response with a citation, and flags the requirements you can't yet meet, so you can decide whether to bid. Proposal Generator works the same way for proposals, from your templates, pricing and product content, ready for your review.

Can Cogito AI find revenue we are missing?

The Upsell/Cross-sell Maximizer compares what each account owns with similar customers and what it has asked for, then ranks the best expansion opportunities with the evidence for each. Win/Loss Analyzer shows the patterns behind won and lost deals. A custom agent can compare contracted products and licenses with actual usage to find revenue leakage.

How do the agents help resolve customer issues faster?

Intelligent Document Search answers plain-language questions from tickets, manuals and past resolutions, with a link to every source. Assisted Fault Diagnosis matches a new issue to similar past cases and suggests the fixes that worked, and the ones that didn't.

How does Cogito AI spot an account before it escalates?

Pre-escalation Alert watches open cases for warning signs such as repeat contacts, slow replies and frustrated language, and alerts the account team. Customer Sentiment Analyzer tracks tone across emails, tickets and calls over time and flags accounts whose sentiment is sliding.

Can it help with renewals?

Renewals Optimizer shows upcoming renewals alongside open cases, sentiment and usage, so account teams know which customers need attention first. The Customer 360 Dashboard puts revenue, open cases, sentiment and renewal dates for any account on one screen.

How do the marketing agents stay on brand?

They work from your brand guidelines, positioning, approved language and product knowledge. Campaign Content drafts emails, social posts and landing-page copy in your brand voice, and Consistent Messaging checks new content against your positioning and suggests edits wherever it drifts.

How does Cogito AI keep product and pricing claims accurate?

Claims Check compares product and pricing claims with your approved product information before content goes out, and flags each mismatch with the source you need to fix it. Every output is logged for review.

What can it do with content we already have?

Content Repurposing turns a white paper or webinar into blog posts, social snippets and email copy, keeping your approved wording intact. SEO Briefs builds each brief from the questions buyers ask and the content you already have, and Market Insights turns analyst reports, competitor launches and market news into a short brief.

What does AI Cost Intelligence show?

AI usage and cost by user, team, agent, model and channel, down to each conversation. The Agent Usage and Cost Analyzer traces every token to its source, and the Agent ROI Calculator weighs each agent's cost against the time it saves and the work it supports, so you can scale the agents that pay off and retire the rest.

Can we control which models our agents use?

Yes. Model Optimizer sets a default model for each agent and decides which users may switch to premium ones, so frontier models are limited to the users and use cases that need them. LLM Independence lets you run models from several providers, including lower-cost open-weight models, and switch whenever a better or cheaper option arrives.

Does Cogito AI help with the close and controls?

Beyond AI spend, Cogito AI builds custom agents for finance teams: drafting variance explanations, narratives and reconciliations, checking contracts and invoices against standard terms and policy, flagging control exceptions for review, and answering finance policy questions with citations. Access is tightly controlled and every action is audited.

How do employees get answers to policy questions?

Policy Q&A answers questions about leave, benefits or expenses in plain language, with a citation to the exact page of the policy. Onboarding Guide does the same for new hires' questions about tools, people and processes, and Employee Requests drafts policy-aligned replies to common requests for HR to check and send.

Does Cogito AI screen or rank job candidates?

No. Application Summaries summarizes each application against the criteria you set and cites the evidence for every criterion. It doesn't rank or reject anyone: a recruiter reviews every application and makes every hiring decision.

How is sensitive HR data protected?

Role-based access limits what each agent and user can reach, and every action is logged for audit. Role-based Learning and Engagement Themes work from your HR system within those same permissions, suggesting learning matched to each role and grouping survey comments into themes.

Security and privacy

Explore Security
Is our data used to train AI models?

No. None of your data is sent to consumer AI services or used to train public models.

How do you handle source-system permissions?

Access is least-privilege and permission-aware. Agents only surface what a given user is entitled to see in the source system, so connecting data does not over-share it.

How do you prevent an agent from overreaching?

Each plug-in runs within defined access and audit controls, so an agent can only take the specific actions you have authorized.

How Cogito AI compares

Explore How We Compare
Can Cogito AI run alongside the AI tools we already use?

Yes. Cogito AI connects to the systems your teams already use, and its agents can run alongside other AI tools. How they fit together depends on your systems and governance, so talk to us about your setup.

Do we have to build the agents ourselves?

No. Each solution comes with ready-to-deploy agents, which you tailor to your workflows. You can also import agents you've already built, or create new ones with the Agent Builder.

How do we govern what agents can do?

You set which data, models and users each agent can reach, guardrails screen every prompt and response with trip levels you choose, and every agent action is recorded in a searchable audit trail.

Which models can we use?

You choose which models are available to your users and agents, set a default for each agent and switch whenever a better fit launches, with no lock-in. For the highest levels of security, open-weight models can run in a completely ring-fenced manner. None of your data is sent to consumer AI services or used to train public models.

Where is our data kept?

In the region you choose. Cogito AI is SOC 2 attested, with 100+ controls continuously monitored, data encrypted at rest and in transit, and a full audit trail on every agent action.
